Gym Alerts is a management tool built for gym owners to track members, trial visitors and fees. This page explains exactly what the app collects, why, and how you stay in control of it.
Gym Alerts helps gym owners run their business — tracking members, trial visitors, membership fees and renewal reminders — without needing a spreadsheet or a front-desk register. Because the app handles names, phone numbers and payment status for real people, we've kept the data footprint deliberately narrow: we only collect what the app needs to function, we don't sell data, and we don't run advertising inside the app.
This policy covers two kinds of data:
When you sign up, we collect your email address and a securely hashed password (or, if you use Google Sign-In, your Google account name, email and profile photo) via Firebase Authentication.
Details you add about your business: gym name, tagline, address, GST number, and contact number. If you upload a logo, it's saved only in the app's local storage on your device — it is not uploaded to our servers.
For each member or trial visitor you add, the app stores: name, phone number, membership plan length, start date, fee amount, payment status, and (for trial visitors) trial length and visit count.
A device push token (via Firebase Cloud Messaging) and your chosen reminder time slots, so we can send renewal and fee-due reminders.
We use Firebase Analytics and Firebase Crashlytics, which automatically collect standard technical data — device model, OS version, app version, crash logs, and general in-app usage events — to help us fix bugs and understand feature usage.
| Category | Examples | Collected via |
|---|---|---|
| Account | Email, password hash, Google profile (optional) | Firebase Authentication |
| Business profile | Gym name, address, GST no., contact number | Cloud Firestore |
| Member records | Name, phone, plan, fees, payment status | Cloud Firestore |
| Trial visitor records | Name, phone, trial length, visits | Cloud Firestore |
| Device logo | Gym logo image | On-device storage only |
| Notifications | Push token, reminder time slots | Firebase Cloud Messaging |
| Diagnostics | Crash reports, device info, usage events | Firebase Crashlytics / Analytics |
We do not access your device's location, camera, microphone, or contacts — the app doesn't request those permissions.
Account and business data is stored using Firebase Authentication and Cloud Firestore, both operated by Google, on Google Cloud infrastructure. Data in transit is encrypted, and access to your gym's records in Firestore is restricted to your authenticated account.
No online storage or transmission method is 100% secure. While we apply reasonable technical safeguards, we can't guarantee absolute security of information you submit.
We don't sell your data or your members' data, and we don't share it with advertisers — the app carries no ad SDK.
Data is shared only with the infrastructure providers needed to run the app:
We may also disclose information if required by law, or to protect the rights, safety, or property of Gym Alerts, our users, or the public.
We retain your account and gym data for as long as your account remains active, so the app keeps working the way you expect. If you delete your account, we remove your account and gym profile records; residual copies may persist briefly in backups before being purged.
Gym Alerts is a business tool intended for gym owners and operators, not for use by children. We don't knowingly collect account data from anyone under 18. If a gym owner enters a member's or trial visitor's details who happens to be a minor, that data is provided and controlled by the gym owner as described in §02.
We may update this policy as the app evolves. If changes are significant, we'll make that clear in the app or via the update's release notes. The "Effective date" above always reflects the latest version.
